Coastal Fund Project Guidelines for Approved Projects

  1. The project deadline on the Grant Agreement is the date that the project must be completed.
  2. A final report detailing the results of the project must be submitted electronically to Coastal Fund within 30 days after the project deadline. If your projected supported a paid internship, you must ensure the internship evaluation form was completed and submitted. Final Report and Internship Evaluation Form.
  3. It is recommended that Projects longer than one academic quarter submit a brief update of the progress of your project via email after the first quarter.
  4. For administrative and accounting purposes, the Grants Manager may spontaneously request a progress report and/or current receipts and invoices. The requested documents are to be submitted within 30 days.
  5. Based on the unpredictable nature of projects, requests for the extension of the project deadline may be submitted to the Grants Manager via email before the end date. Only after approval by the Board of Directors are additional funds allowable to be spent after the set project deadline.
  6. All expenditures from the Coastal Fund grant monies must be documented in the form of a receipt, invoice, or a signed typewritten document. Coastal Fund may request all original receipts (whenever applicable) and invoices, or any documents detailing the expenditures of your project.
  7. Any unspent monies from the Coastal Fund grant must be repaid to Coastal Fund in the form of a check made out to “Coastal Fund” at the time the final report is submitted.
  8. All literature or publicity related to this project must include mention of the Associated Students Coastal Fund as a source of funding and a logo. Logo obtained online. If there are co-sponsors, Coastal Fund shall deserve equal recognition.
  9. The individual specified in the Grant Agreement is expected to conduct all responsibilities related to the project. Responsibility cannot be transferred to another individual or organization as long as the Grant Agreement is in effect. If for any reason the current applicant under the Grant Agreement changes, the new applicant must complete a new Grant Agreement and have approval from the Board to be active.
  10. Any violations of these Project Guidelines, and/or the Grant Agreement, may include restricting further funding from the sponsoring organization indefinitely.
